Vegas X Pass is a third-party booking platform connecting customers with event operators, venues, shows, attractions, and entertainment experiences in Las Vegas, Nevada. Because we act as an intermediary between customers and independent Venue Partners, our refund policy reflects both our own service commitments and the policies of the Venue Partners through whom bookings are fulfilled.

We are committed to transparency and fair dealing. This Refund Policy explains under what circumstances refunds are available, how to request them, and what timelines apply. Please read this policy carefully before submitting a reservation request.

 

REMINDER: A RESERVATION PURCHASE IS NOT A CONFIRMED BOOKING

All reservation requests submitted through Vegas X Pass are pending until verified and confirmed in writing by a Vegas X Pass agent. If your reservation cannot be confirmed, you will receive a full refund automatically. See Section 2 below for complete details.

 

1. Vegas X Pass Service Fee

When you submit a reservation request through Vegas X Pass, a non-refundable service fee may be charged to cover the cost of our booking facilitation, agent coordination, and platform operations. This fee is separate from the base price of the event or experience and will be clearly disclosed prior to the completion of your reservation request.

       Service Fee — Non-Refundable:: The Vegas X Pass service fee is non-refundable under all circumstances, including customer-initiated cancellations, except as described in Section 2 (Unconfirmed Reservations) and Section 6 (Exceptions & Goodwill Refunds).

       Transparency:: The service fee amount will always be itemized and displayed to you before you complete your reservation request. By proceeding with your request, you acknowledge and accept this fee.

2. Unconfirmed Reservations — Full Refund Guaranteed

If Vegas X Pass is unable to confirm your reservation due to lack of availability, Venue Partner non-response, scheduling conflicts, or any other reason within our control, you will receive a complete refund of all amounts charged, including any Vegas X Pass service fee.

       Eligibility:: All customers whose reservation requests are not confirmed in writing by a Vegas X Pass agent.

       Refund Amount:: 100% of all amounts charged, including the base reservation price and any Vegas X Pass service fee.

       Processing Time:: Refunds for unconfirmed reservations will be processed within 3 to 5 business days of the determination that a booking cannot be confirmed, and will be returned to the original payment method.

       Notification:: You will be notified via the contact information you provided at the time of your reservation request if we are unable to confirm your booking.

 

We will make every reasonable effort to confirm your reservation within 24 to 48 business hours of your request. If you have not been contacted by a Vegas X Pass agent within 48 business hours, please reach out to us directly at bookings@vegasxpass.com.

3. Confirmed Bookings — Customer-Initiated Cancellations

Once your reservation has been confirmed in writing by a Vegas X Pass agent, cancellation and refund eligibility depends on the timing of your cancellation request relative to the scheduled event date, as well as the specific policies of the Venue Partner. The following general cancellation tiers apply to most bookings facilitated through Vegas X Pass, unless otherwise stated in your written confirmation:

Important notes regarding the above schedule:

       Venue Partner Variations:: Some Venue Partners may have stricter or more flexible cancellation terms that supersede the general schedule above. Your specific cancellation terms will be confirmed in writing at the time of booking.

       Special Events & Peak Dates:: Bookings for major Las Vegas events, holidays, New Year’s Eve, residency shows, sporting events, and other high-demand dates may be non-refundable from the time of booking confirmation. This will be clearly communicated in your confirmation.

       Promotional & Discounted Bookings:: Bookings made using promotional codes, discounted rates, or special offers may be non-refundable. This will be disclosed at the time of the offer.

       How to Cancel:: To initiate a cancellation, contact your Vegas X Pass agent directly or email us at bookings@vegasxpass.com. Cancellations must be submitted in writing (email is acceptable) to be considered valid. The date and time of your written cancellation request will be used to determine refund eligibility under the schedule above.

4. Venue Partner & Event Cancellations

In circumstances where a Venue Partner cancels, postpones, or materially alters a confirmed event or experience, Vegas X Pass will take the following steps on your behalf:

       Full Cancellation by Venue Partner:: If a Venue Partner cancels an event entirely, you will receive a full refund of the base price paid. The Vegas X Pass service fee remains non-refundable, as our booking services were rendered in good faith.

       Postponement or Rescheduling:: If an event is postponed or rescheduled, we will contact you promptly with updated details. You may choose to: (a) transfer your booking to the new date at no additional charge, subject to availability; or (b) request a full refund of the base price if the new date does not work for you.

       Material Changes:: If a Venue Partner makes a material change to a confirmed booking (such as a significant change to the venue, lineup, or experience) that fundamentally alters the nature of what was booked, you will be offered a refund of the base price or an alternative booking of comparable value, at your discretion.

       Force Majeure:: Vegas X Pass and its Venue Partners are not liable for cancellations or disruptions caused by circumstances beyond reasonable control, including but not limited to acts of God, natural disasters, pandemics, government mandates, or civil disturbances. In such cases, we will work with Venue Partners to offer credits, rescheduling, or partial refunds where possible, but full refunds cannot be guaranteed.

5. No-Show Policy

If you have a confirmed booking and fail to appear at the designated venue at the scheduled date and time without having previously submitted a cancellation request, your booking will be treated as a no-show. No-shows are not eligible for a refund of any amount, including the base price. Vegas X Pass is not responsible for no-shows resulting from incorrect contact information, missed confirmation communications, or failure to respond to agent outreach.

If you believe you have been incorrectly classified as a no-show, please contact us within 48 hours of the scheduled event time at bookings@vegasxpass.com and we will review your case.

6. Exceptional Circumstances & Goodwill Refunds

Vegas X Pass understands that unexpected circumstances arise. While our standard policy is as described above, we review requests for exceptions on a case-by-case basis. Circumstances that may be considered for a goodwill refund or credit include:

       Medical Emergencies:: Documented medical emergencies affecting the customer or an immediate family member. Supporting documentation (such as a physician’s note or hospital record) may be required.

       Bereavement:: Death of an immediate family member occurring within 72 hours of the scheduled event, with appropriate documentation.

       Documented Natural Disasters or Travel Disruptions:: Significant travel disruptions (such as cancelled flights due to weather) directly preventing attendance, with supporting documentation.

 

Goodwill refund requests must be submitted in writing to bookings@vegasxpass.com within 7 days of the scheduled event date, accompanied by any relevant supporting documentation. Vegas X Pass reserves the right to approve or deny such requests at its sole discretion. Where a cash refund is not possible, we may offer a booking credit of equivalent value valid for 12 months from the date of issue.

7. Booking Credits

In certain circumstances, Vegas X Pass may offer a booking credit in lieu of a cash refund. Booking credits are subject to the following terms:

       Validity:: Booking credits are valid for 12 months from the date of issue and may be applied toward any booking made through Vegas X Pass during that period.

       Non-Transferable:: Booking credits are issued to the account holder and are non-transferable to other customers or accounts.

       No Cash Value:: Booking credits have no cash value and cannot be redeemed for cash, exchanged, or applied toward the Vegas X Pass service fee.

       Expiration:: Unused booking credits expire at the end of the 12-month validity period and will not be extended or reinstated.

8. Refund Processing & Payment Method

All approved refunds will be processed as follows:

       Method:: Refunds are returned exclusively to the original payment method used at the time of the reservation request. Vegas X Pass is unable to issue refunds to a different card, bank account, or payment method.

       Timeline:: Once a refund has been approved and initiated by Vegas X Pass, please allow 5 to 10 business days for the funds to appear in your account, depending on your bank or payment processor. Processing times are outside of Vegas X Pass’s control once the refund has been submitted.

       Currency:: All refunds are issued in U.S. dollars. Vegas X Pass is not responsible for any foreign exchange rate differences or fees charged by your financial institution in connection with the refund.

       Partial Refunds:: Where a partial refund applies, only the eligible portion of the base price will be refunded. Service fees, administrative charges, and any non-refundable components will not be included.

9. Disputes & Chargebacks

If you believe a charge from Vegas X Pass is incorrect or unauthorized, we encourage you to contact us directly at bookings@vegasxpass.com before initiating a chargeback with your bank or credit card issuer. Most billing concerns can be resolved quickly and amicably through direct communication with our team.

Initiating a chargeback without first contacting Vegas X Pass may result in the suspension of your account and forfeiture of any pending booking credits. Vegas X Pass reserves the right to dispute chargebacks that are inconsistent with this Refund Policy and our Terms and Conditions.

10. How to Request a Refund

To submit a refund request, please follow these steps:

       Step 1 — Contact your Vegas X Pass booking agent directly, or email social@vegasxpass.com.

       Step 2 — Include your full name, booking confirmation number (if applicable), the event or experience booked, the date of your reservation, and the reason for your refund request.

       Step 3 — If your request is based on exceptional circumstances (Section 6), attach any relevant supporting documentation.

       Step 4 — A Vegas X Pass team member will review your request and respond within 2 to 3 business days with a determination.

11. Changes to This Refund Policy

Vegas X Pass reserves the right to modify or update this Refund Policy at any time. Changes will be effective upon posting to our website with an updated Effective Date. The refund policy in effect at the time your reservation request is submitted will govern your booking, except where changes are required by applicable law.
